2. Personal data we may collect

Depending on how you interact with us, we may collect:

• your name, job title, company and business address;
• telephone number and email address;
• event registrations, attendance and payment-related records;
• professional interests, communication preferences and correspondence;
• survey, promotion or feedback responses;
• website and cookie information described in our Cookie Policy; and
• photographs or recordings made at an event, subject to the event notice and applicable law.

3. Why and how we use personal data

We process personal data to administer registrations and payments, deliver events and training, communicate operational information, answer enquiries, improve our services, maintain business records and protect our legitimate interests.

Where permitted, we may also use contact details to share relevant information about conferences, training and other EBCG services. Our legal basis may be performance of a contract, compliance with a legal obligation, legitimate interests or consent, depending on the activity.

4. When information may be shared

EBCG does not sell or rent its email lists. We may share information with service providers that support our website, payment, communications and event delivery, and with relevant event partners, sponsors or exhibitors where there is an appropriate legal basis and the sharing is connected to the event.

We may also disclose information when required by law, to protect legal rights, or in connection with a corporate reorganisation. Where information is transferred outside the European Economic Area, we use an appropriate lawful transfer mechanism where required.

5. Security and retention

We use appropriate organisational and technical safeguards designed to prevent accidental loss, unauthorised access, alteration or disclosure. Access is limited to people and providers who need the information for a legitimate purpose.

We retain personal data only for as long as necessary for the purpose for which it was collected, including legal, accounting and reporting requirements. Retention periods vary according to the type of record and applicable obligations.

6. Your data protection rights

Subject to the conditions in applicable law, you may request:

• access to your personal data;
• correction of inaccurate or incomplete data;
• erasure of personal data;
• restriction of processing;
• data portability;
• objection to processing based on legitimate interests or direct marketing; and
• withdrawal of consent at any time, without affecting processing already carried out.

You also have the right to submit a complaint to the competent supervisory authority. EBCG does not use the data covered by this policy for solely automated decisions that produce legal or similarly significant effects.

7. Direct marketing

You can stop receiving marketing communications at any time by using the unsubscribe link in an email or contacting database@ebcg.com. We may keep a minimal suppression record so that your preference is respected.
