Worldwide Terms & Conditions

Please read the information listed below as each booking is subject to EBCG standard terms and conditions.

Payment Terms

Upon completion and return of the registration form, full payment is required no later than 5 business days from the date of the invoice. Payment of all proforma invoices and tax invoices will be subject to a 29 Euro plus VAT if applicable (for EU) or 49 USD (for USA and GCC) per delegate processing fee. Payment must be received prior to the conference date. We reserve the right to refuse admission to the conference if payment has not been received.

Registration fees include program materials, food, and refreshments.

The client recognizes that EBCG organizes high-quality events, with strictly limited numbers of attendees and incurs expenses as a result. EBCG relies on all it’s clients to honor EBCG agreements and make the required payment in order to guarantee the conference’s success.

EBCG Cancellation, Postponement and Substitution Policy

You may substitute delegates at any time by providing reasonable advance notice to EBCG. For any cancellations received in writing not less than forty (40) days prior to the conference, you will receive a 50% credit to be used at another EBCG conference which must occur within one year from the date of issuance of such credit. An administration fee of 10% of the contract fee will be retained by EBCG for all permitted cancellations. No credit will be issued for any cancellations occurring within thrity-nine (39) days (inclusive) of the conference.

In the event that EBCG cancels an event for any reason, you will receive a credit for 100% of the contract fee paid. You may use this credit for another EBCG event to be mutually agreed with EBCG, which must occur within one year from the date of cancellation.

The free pass will grant access to a future event of choice up to the value of the paid admission fee and is valid up to 12 months from the cancellation date. The pass is for one delegate place only and will not include promotional offers at the time of registration. Non-attendance or non-payment does not make this contract void.

In the event that EBCG postpones an event for any reason and the delegate is unable or unwilling to attend in on the rescheduled date, you will receive a credit for 100% of the contract fee paid. You may use this credit for another EBCG event to be mutually agreed with EBCG, which must occur within one year from the date of postponement.

Except as specified above, no credits will be issued for cancellations. There are no refunds given under any circumstances.

EBCG is not responsible for any loss or damage as a result of a substitution, alteration or cancellation/postponement of an event. EBCG shall assume no liability whatsoever in the event this conference is canceled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this conference impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to war, fire, labor strike, extreme weather or other emergencies.

Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the organizers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, EBCG reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.

Intellectual Property & Copyright

All EBCG materials in relation to EBCG events are exclusively reserved and any unauthorized duplication, publication or distribution is strictly prohibited. EBCG shall not be liable for any loss or damage suffered by the client or by any third party arising from the use or reproduction of any connected materials. It is also agreed that EBCG has no responsibility to ensure that the necessary permissions have been obtained by the client in relation to the use of names, people, trademarks, or any other copyrighted materials. EBCG reserves the right to use the aforementioned materials for marketing and/or commercial purposes; This contract supersedes any previous agreement, between the parties relating to the All EBCG Materials.

Whilst all reasonable care and effort have been made, EBCG reserves the right to alter the program content without notice. If for any reason EBCG decides to cancel, postpone or merge this conference with another conference, EBCG is not responsible for covering hotel, airfare, or other expenses incurred by clients. The conference fee can be credited to a future conference.

Jurisdiction

EBCG agreements shall be governed in accordance with the law of the Slovak Republic and the parties submit to the exclusive jurisdiction of the Slovak Courts. However, only EBCG is entitled to waive this right and submit to the jurisdiction of the courts in which the client’s office is located

Testimonials

EBCG is thankful for client feedback at our events. EBCG may use clients’ company logo, quotes & testimonials in future marketing literature.

Pricing

All prices quoted by EBCG are excluding VAT with regards to advertising of the price for any taxable items or services and the VAT rate is specified by the relevant national tax authority at this point in time.

Registration decline

EBCG reserves the right to review and decline any registration at its own discretion.

Discounts

All ‘Early Bird’ Discounts require payment at the time of registration and before the cut-off date in order to receive any discount. Any discounts offered whether by EBCG (including team discounts) must also require payment at the time of registration. All discount offers cannot be combined with any other offer.

For group discounts to apply all delegates must register on the same day.

Free Pass Policy

In the case that a free pass is issued, and failure to attend, delegates agree to a No Show penalty valued at the standard price of the ticket for the selected event.
All free passes issued are binding to an individual and are non-transferable.

Information about how we may share your data with our sponsors

The event is being sponsored by the companies listed at the event website as Partners. We may make available our registrants’ names, job title, company and email address to the event sponsors. This is in our and our sponsors’ legitimate business interests: it allows us to attract the most appropriate sponsors for the events and to facilitate business-to-business communication between our sponsors and our registrants during and after our events. Our sponsors may contact you about their products and services. If you do not consent to share your personal information with event sponsors please email database@ebcg.com.
Surveys & Promotions

From time to time EBCG may run surveys and promotions and may request information from users as part of these. Participation in these is entirely voluntary.

Security

EBCG takes precautions to protect your information. When users submit sensitive information over the internet, we protect it through the use of encryption, such as the Secure Socket Layer (SSL) protocol. Access to all of our users’ information is restricted in our offices. Only employees who need the information to perform a specific job are granted access to personally identifiable information. The servers that we store personally identifiable information on are kept in a secure environment.

Right to Access

Right to Rectification

EBCG will make every attempt to keep your personal data accurate, complete and up to date. If your personal information is incorrect, changes or if you no longer wish to receive information from EBCG, we will endeavor to correct, update or remove your information as swiftly as possible. Right to be Forgotten (Right to Erasure)

You have the right under certain circumstances to have your personal information erased. Your information can only be erased if your data is no longer necessary for the purpose for which it was collected, and we have no other legal ground for processing the data.

Right to Restrict Processing

You have the right to restrict the processing of your personal information, but only where:

  • its accuracy is contested, to allow us to verify its accuracy; o

If you raise an objection, we have an opportunity to demonstrate that we have compelling legitimate interests which override your rights and freedoms.

Right to Decline Automated Decision Making

You have the right to not be subject to decisions based solely on automated decision making, which produce legal or significant effects for you, except where these are (i) necessary for a contract to which you are a party; (ii) authorized by law; (iii) based on your explicit consent.

Even where such decisions are permitted, you can contest the decision and require EBCG to exercise human intervention.

We currently do not use automated decision making (including automated decision making using profiling) when processing your personal information. If we ever use an automated decision-making solution, you have a right to request that a decision based on your personal information cannot be solely decided via an automated process.

Direct Marketing

If you no longer wish to receive newsletters or promotional materials, you may opt-out of receiving these communications. You can do it by following the unsubscribe link placed in the footer of the promotional email or, if by post, by returning the letter to us with “unsubscribe” marked upon it. Or you can simply contact database@ebcg.com and ask to be unsubscribed.

Notifications of Changes

EBCG reserves the right to amend the privacy notice. In such a case, the ‘last updated’ date will be amended accordingly and you will be informed via statement prominently displayed on the website.

GDPR Compliance

EBCG respects your right to privacy. We ensure all data is managed lawfully, fairly and transparently. We use third parties to also acquire data, who hold those parties to the same high standard. You have a right to be forgotten and can email us at database@ebcg.com to request your personal data or any information related to privacy.

Data Storage and Retention

The personal data we hold is stored on EBCG servers and on the servers of cloud-based database management services located in Germany. EBCG retains data for the duration of the customer’s or member’s business relationship with the EBCG and as required by applicable legislation. EU Anti-Spam Legislation

EBCG has taken all reasonable steps to comply with the EU’s Anti-Spam Legislation. We only email contacts with whom we have had a business relationship within the last 4 years, individuals who may have enquired about an event in the last 6 months or who have opted in to receive our divisional marketing communications. Should you receive an unsolicited email from EBCG please email database@ebcg.com and we will remove your details within 48 hours.

Transfer

The internet is a global environment. The data that we collect from you may be transferred to and stored at, international destinations, including destinations outside the European Economic Area (“EEA”). It may also be processed by international staff or data processors outside this area, who maybe engaged in, among other things, the fulfillment of your order, the processing of your payment details and the provision of support services

Social Buttons

On many of the pages of the site, you will see ‘social buttons’. These enable users to share or bookmark the web pages. External Web services

We use a number of external web services on the EBCG site, mostly to display content within our web pages. For example, to display images we often use Flickr; to display slideshows we sometimes use SlideShare; to show videos we use Vimeo and YouTube. This is not an exhaustive or complete list of the services we use or might use in the future when embedding content, but these are the most common. As with the social buttons, we cannot prevent these sites, or external domains, from collecting information on your usage of this embedded content. If you are not logged in to these external services then they will not know who you are but are likely to gather anonymous usage information e.g. number of views, plays, loads, etc.

Email tracking

Some emails that we send you have no tracking in at all e.g. service emails. Other emails we send we put in tracking so that we can tell how much traffic those emails send to our site but we do not know who has clicked so the data is anonymous e.g. our daily newsletter.

Purpose

We believe our community should be truly open for everyone. As such, we are committed to providing a friendly, safe and welcoming environment for all, regardless of gender, sexual orientation, disability, ethnicity, or religion.

This code of conduct outlines our expectations for participant behavior, as well as the consequences for unacceptable behavior.

We invite all sponsors, speakers, attendees, media, exhibitors and other participants to help us realize a safe and positive conference experience for everyone.

All determinations of appropriate or inappropriate behavior are in EBCG’s sole discretion and the decision(s) of the EBCG representatives on-site will be final.

In any emergency situation please call the authorities immediately via the house phones or directly.

Expected behavior includes, but is not limited to:

  • Be considerate, respectful, and collaborative.
  • Refrain from demeaning, discriminatory or harassing behavior, materials and speech.
  • Be mindful of your surroundings and of your fellow participants. Alert conference organizers if you notice a dangerous situation or someone in distress.

Unacceptable behavior & materials include, but are not limited to:

  • Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning materials or conduct by any attendees of the event and related event activities. Many event venues are shared with members of the public; please be respectful to all patrons of these locations.
  • Harassment includes offensive comments (verbal, written, or otherwise) related to gender, sexual orientation, race, religion, disability; inappropriate use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or following; harassing materials, photography or recording; sustained disruption of talks or other events (whether verbal or otherwise); inappropriate physical contact, and unwelcome sexual attention.
  • Wearing clothing that is not suitable for a professional work environment, that is provocative, or otherwise potentially offensive.
  • Physical, written, verbal or other abuse, intimidation, threats, annoyance, harassment, stalking, pushing, shoving or use of any physical force whatsoever against any person, which in any way creates a disturbance that is disruptive or dangerous, or creates apprehension in a person, as determined by EBCG and its show management, in their sole discretion.
  • Possession of any item that can be used as a weapon, which may cause danger to others if used in a certain manner.
  • Any boisterous, lewd or offensive behavior or language, including but not limited to using sexually explicit or offensive language, materials or conduct, or any language, behavior or content that contains profanity, obscene gestures, or racial, religious or ethnic slurs.
  • Possessing any open can, bottle or other receptacle containing any alcoholic beverages, except in areas specifically designated for the consumption of alcohol. Please drink responsibly.
  • Possessing any illegal substance, including but not limited to narcotics, marijuana, or other illegal drugs. EBCG does not tolerate the use or abuse of illegal substances anywhere in the Venue.
  • Smoking – other than in designated areas.
  • Assembling for the purpose of, or resulting in, disturbing the peace, or committing any unlawful act or engaging in any offensive behavior.
  • Failure to obey any rules or regulations of the Venue.

Consequences of unacceptable behavior

Unacceptable behavior will not be tolerated whether by other attendees, media, speakers, volunteers, organizers, venue staff, sponsors, or exhibitors.

Anyone asked to stop unacceptable behavior is expected to comply immediately.

If a participant engages in unacceptable behavior, the conference organizers may take any action they deem appropriate, including expulsion from the conference without warning or refund and contacting the authorities as necessary.

What to do if you witness or are subjected to unacceptable behavior

In any emergency situation please call the authorities immediately via the house/mobile phones or directly.

If you are subjected to unacceptable behavior, notice that someone else is being subjected to unacceptable behavior, or have any other concerns, please notify a conference organizer as soon as possible. All reports will remain completely confidential.

Event Staff will be available to help participants contact venue security or local law enforcement, to provide escorts, or to otherwise assist those experiencing unacceptable behavior to feel safe for the duration of the conference. You can report unacceptable behavior to any member of staff. Staff can be found in the Show Office onsite or you may email one of the contacts below.

Scope

We expect all conference participants (staff, sponsors, volunteers, speakers, attendees, and other guests) to abide by this code of conduct at all conference venues and conference-related social events.

The above policies may be revised at any time by EBC-Slovakia s.r.o. and are non-negotiable. This Code of Conduct is without prejudice to EBC-Slovakia s.r.o.’s rights, all of which it expressly reserves.

II (ďalej len „súhlas v rozsahu podľa ČI. II“) a to v informačnom systéme Prevádzkovateľa.

ZOZNAM POSKYTNUTÝCH OSOBNÝCH ÚDAJOV

Rozsah spracúvania osobných údajov: meno, priezvisko, názov spoločnosti, pracovná pozícia, e-mailová adresa, ulica, mesto, psč, krajina. Vymedzený zoznam osobných údajov Prevádzkovateľ spracúva osobami osobitne na to poverenými, a sú bezpečne uchovávané s obmedzeným prístupom tretích osôb. Dotknutá osoba prehlasuje, že ňou poskytnuté osobné údaje sú pravdivé a aktuálne a v prípade akejkoľvek zmeny poskytnutých osobných údajov túto zmenu oznámi bez zbytočného odkladu Prevádzkovateľovi.

ČI. III
ÚČEL POSKYTNUTIA OSOBNÝCH ÚDAJOV

Dotknutá osoba udeľuje súhlas v rozsahu podľa ČI. II v súvislosti s evidenciou a poskytovaním výhod a zliav (formou vystavenia vstupenky) pre návštevníkov konferencií organizovaných EBC-Slovakia s.r.o, a v zmysle § 4 a násl. zákona č. 479/2008 Z.z. o organizovaní verejných telovýchovných podujatí, športových podujatí a turistických podujatí a o zmene a doplnení niektorých zákonov v znení neskorších predpisov. Dotknutá osoba udeľuje súhlas so spracúvaním osobných údajov v súlade so zákonom § 13 ods. 1 písm. a) Zákona a so zákonom č. 351/2011 Z.z. o elektronických komunikáciách, ktoré budú využité pre marketingové účely Prevádzkovateľa, medzi ktoré patrí zasielanie obchodných informácií prostredníctvom elektronickej pošty alebo klasickej pošty.

DOBA PLATNOSTI SÚHLASU NA SPRACOVÁVANIE OSOBNÝCH ÚDAJOV

Dotknutá osoba udeľuje súhlas v rozsahu podľa Čl. II odo dňa udelenia súhlasu do skončenia účelu ich spracúvania Prevádzkovateľom. Prevádzkovateľ sa zaväzuje zlikvidovať predmetné osobné údaje v rozsahu podľa Čl. II po skončení účelu ich spracúvania.

POUČENIE

Ochrana osobných údajov dotknutej osoby sa spravuje § 13 ods. 1 písm. a) Zákona. Súhlas udelený na spracúvanie osobných údajov možno kedykoľvek odvolať formou písomného oznámenia zaslaného na adresu sídla Prevádzkovateľa, kontaktná osoba: Ing. Roman Slovinec hello@ebcg.com. Poskytnutie osobných údajov je dobrovoľné. Dotknutá osoba má právo najmä na informácie, odpis a opravu svojich osobných údajov vedených v informačnom systéme prevádzkovateľa. V prípade neaktuálnosti poskytnutých osobných údajov, po splnení účelu, po podaní námietky, alebo v prípade zrušenia alebo zániku vstupenky na konferenciu organizovanú Prevádzkovateľom, Prevádzkovateľ údaje spracuvávané v informačnom systéme zlikviduje. Dotknutá osoba, ktorá tvrdí, že je priamo dotknutá na svojich právach ustanovených Zákonom, môže podať návrh na začatie konania v zmysle § 100 a nasl. Zákona.
